Set Up Worldpay Payment Services (Using VX805 Payment Terminal) [EMV]

Overview

This article will cover the steps necessary to set up your Worldpay Payment Services account to integrate with TDO. We will cover the setup for users who are using the Verifone VX805 Terminals (both the old VX805 8.42B and the new VX805 12.11).



Prerequisites

EMV is only available in TDO Version V11.351c or higher. If you are on an older version of TDO, please contact your IT and TDO Support to schedule a time to update.

You will receive a welcome letter from Worldpay with steps on how to get your payment processing up and running. Here is an example of the letter and instructions below. Once TDO receives your set up letter, we will reach out to your office to let you know you need to schedule an install appointment.

 
STEP 1: Receive your equipment.

If you haven’t received your equipment from JR’s POS Depot within 10 business days, call them at 954-741-3433. Upon receipt, contact your dealer to set up an install appointment.

 

 
STEP 2: Set up access to statements, transactions and more on our iQ portal.

Look for an email from iq@accessmyiq.com to enroll in iQ . If you don’t get an email within 24 hours, click here to get one resent. NOTE: you will need your Merchant ID (MID) and Tax ID numbers for the resend. Click here for an iQ User Guide.

STEP 3: Contact your dealer to complete set up.

Contact {Dealer} to complete installation of your credit card payments system.

Users who will be processing credit/debit payments need to have the ’Process Credit Card payments’ box checked on their user record (v11: [Administrative > Add/Edit User Names and Passwords], v12: [Setup > Site Configuration > Add/Edit User Names and Passwords]).

Detailed Steps

 Identifying which VX805 terminal(s) you have:

The ’old’ VX805 8.42B terminal can be identified by the ’old’ VeriFone logo in the upper left corner of the device (with buttons facing you), and may have a sticker on the back indicating a purchase date on or before 3/31/19.

The ’new’ VX805 12.11 terminal can be identified by the ’new’ Verifone logo in the upper left corner of the device (with buttons facing you), and may have a sticker on the back indicating a purchase date on or after 4/1/19.

Merchant Information:

  1. Open ‘Doctor Information’ (V11 : [Administrative > Edit Doctor Information, V12: [Setup > Site Configuration > Edit Doctor Information]).

  2. If your database is not replicated, enter the Terminal ID from the ‘Dealer Setup Letter’ in the ‘Credit Card Pmt Merchant ID’ field. If your database is replicated (i.e. multiple practice locations), click ‘Doctor-Location Setup’, and enter the Terminal ID in a new row for each applicable location.

  3. On the ‘Download Software’ page of the TDO website, download ‘SetupWorldPay.exe’ and copy this file to the ‘TDOBuilds’ folder on your server.



Primary Workstation:

Complete these steps only on the Primary workstation.

  1. Designate a workstation to be the ‘Primary’. This workstation will run NETePay, and will act as a conduit for other workstations with payment terminals. If this workstation is not on, or NETePay is not running, other workstations will not be able to take payments.

  2. Assign this workstation a static IP address. Contact your IT Professional for assistance with this step.

  3. Connect the VX805 to AC power, and to USB on the Primary workstation.

  4. Run ‘SetupWorldPay.exe’ as Administrator on the Primary workstation.

  5. Select ‘Primary Computer New VX805’ if you are using the new terminal (12.11), or select ‘Primary Computer’ if you are using the old terminal (8.42B)

  6. Click ‘Next’ and agree to the EULA on each installer until they finish, making sure to click ‘No’ when asked to reboot.

  7. Copy the ‘NETePay’ shortcut into the Startup folder so that it will start when the user logs in.

  8. Open NetEPay, and click [Setup > Setup Information].

  9. Click ‘Load New Parameters’

  10. Click ‘Yes’ when asked to Attempt Activation.

  11. Click ‘I Have My Deployment ID’.

  12. Enter the Deployment ID from the Dealer Setup Letter.

  13. Restart the computer.

  14. Open TDO’s Control Table (V11: [Administrative > Edit Control Table], V12: [Setup > Site Configuration > Edit Control Table])

  15. On the ‘Network Settings’ tab, enter ‘1’ for the ‘MPS Main Server:’ field. Leave ’EMV Server:’ blank. This field will be automatically filled in when we perform step 20.

     

  16. On the ‘Workstation Settings’ tab, in the ‘Credit Card Settings’ section, select ‘Worldpay’ or ‘Vantiv’ for ‘Credit Card Company’, enter ‘EMV_VX805_MERCURY’ for ‘EMV Pin Pad Type’, select ‘USB’ for ‘Connection Method’, and enter the COM Port assigned to the VX805 Terminal on the workstation (you can determine this by opening [Control Panel > Device Manager > Ports (COM & LPT)], but usually it is ‘9’)

  17. Close the Control Table, refresh (‘R’ in the TDO interface), then open the Control Table again, select ‘Workstation Settings’, and click ‘EMV Param Download. After ~60 seconds, you should see a message indicating that the parameters have been downloaded successfully.



Secondary Workstation(s):

Complete the following steps on all other workstations which have a VX805 terminal attached.

  1. Connect the VX805 terminal to AC power and to USB on the workstation

  2. Run ‘SetupWorldpay.exe’ as Administrator.

  3. Select ‘Secondary Computer’ if you are using the old terminal (8.42B), or ‘Secondary Computer New VX805’ if you are using the new terminal (12.11).

  4. Click ‘Next’ and agree to the EULA on each installer until they finish, then restart the computer.

  5. Open TDO’s Control Table, and select the ‘Workstation Settings’ tab.

  6. On the ‘Workstation Settings’ tab, in the ‘Credit Card Settings’ section, select ‘Worldpay’ or ‘Vantiv’ for ‘Credit Card Company’, enter ‘EMV_VX805_MERCURY’ for ‘EMV Pin Pad Type’, select ‘USB’ for ‘Connection Method’, and enter the COM Port assigned to the VX805 Terminal on the workstation (you can determine this by opening [Control Panel > Device Manager > Ports (COM & LPT)], but usually it is ‘9’).

  7. Close the Control Table, refresh (‘R’ in the TDO interface), then open the Control Table again, select ‘Workstation Settings’, and click ‘EMV Param Download. After ~60-120 seconds, you should see a message indicating that the parameters have been downloaded successfully.

 

To Receive Credit/Debit Payments:

  1. Open a patient’s Ledger, then click ‘Receive Payment’. Enter the amount to charge in ‘Amount Received’, select ‘Credit Card’ or ‘Debit/ATM/E-Check’ for ‘Type of Payment’, and select the card type (Visa, MasterCard, etc.) under ‘Reference’ if applicable.

  2. You should see a checkbox that says ‘Use TDO Payment Services’, make sure that this is checked.

  3. Make your selections for the remaining fields then click ‘Close and Save’. At this point, follow the instructions on the terminal to complete the transaction.

  4. If the payment goes through, you’ll see a message informing you of a successful transaction, and a receipt will be generated.
